Farm Equipment Compliance Documents

Required documentation for farm equipment vendors and suppliers trading machinery, tools, and agricultural systems across ASEAN markets. Separate from fertilizer or produce compliance.

Overview

Farm equipment vendors — including suppliers of tractors, irrigation systems, aquaculture equipment, greenhouse supplies, packaging machinery, cold storage units, pumps, generators, and other agricultural tools — face distinct compliance requirements compared to fertilizer or fresh produce sellers. Equipment compliance focuses on technical specifications, safety certifications, warranty documentation, and trade logistics rather than chemical composition or food safety. This dedicated checklist helps farm equipment vendors prepare the correct documentation for cross-border trade, marketplace listing, and buyer due diligence. Note: document requirements may vary by destination country, product type, and whether the equipment is new, used, or specially regulated.

Compliance Process

1
Prepare Business & Product Documentation
Obtain valid business registration and compile your product catalogue, technical specification sheets, and serial number lists for all equipment models you intend to sell.
2
Prepare Safety & Compliance Certificates
Obtain Declaration of Conformity or equivalent safety compliance documents for electrical and mechanical equipment. Ensure CE, ISO, or equivalent certifications are current and cover the specific models listed.
3
Prepare User Manuals & Warranty Documents
Ensure each equipment unit ships with a User Manual in the buyer's language (or English as default) and a Warranty Information sheet specifying coverage period and service contact.
4
Arrange Trade & Logistics Documents
Coordinate with your freight forwarder to obtain Commercial Invoice, Packing List, Bill of Lading or Airway Bill, and Certificate of Origin.
5
Obtain Cleaning & Inspection Certificates for Used Equipment
For used or refurbished equipment, obtain a Cleaning Certificate confirming decontamination and an Inspection Certificate from an accredited inspection body. These are mandatory for most ASEAN import authorities.
6
Submit to Buyer or Apply for Verified Status
Upload all documents via the GSR ASEAN Supplier Verification form to apply for Verified Equipment Vendor status and receive a Trusted Vendor badge on your marketplace listings.
